AI Guidance
- Consult ai.iastate.edu.
- When available, faculty and staff should use university provided methods of accessing AI services. Example: ChatGPT can be requested via ServiceNow request, which should be used rather than faculty and staff setting up ChatGPT Pro on their own with a P-Card.
- Service reviews are ongoing; as institutional offerings change, users may need to move from a personal license to an institutional license.
- Technical assistance will be offered.
- You can only share private data (e.g., ISU intellectual property, research data, student data) with an AI service if you can use your Microsoft My Apps dashboard to log into it and then only if the service is approved for the data classification you are handling. Never share private data with a free service or one that you purchased on a P-Card.
- AI products should be properly vetted and reviewed before purchasing or use.
- Software Vendor List and Information: https://iastate.service-now.com/kb_view.do?sysparm_article=KB0011447
- Consult with local IT and/or departmental fiscal administration.
- If your AI product isn't in this list of approved software vendors, submit a Software Review Request
- When using any AI product, data should not be shared or used to train other unrelated models. For example: If you share novel research with an AI model, that model could learn from it and give someone outside ISU instructions on how to recreate your work. No attribution, no publication, and that action could violate intellectual property agreements with our upstream contractors that pay us. See https://ai.iastate.edu/policies-and-compliance.
- Pending approval by LAS administration, a P-Card can be used to pay for AI services and needs to follow regular procurement procedures. AI services should not be paid for with personal funds and reimbursed.
- Faculty and staff may not sign agreements on behalf of the university.
- Do not allow recurring charges.
- Be aware of credit limits and related costs.
- All AI services should use a NetID@iastate.edu email address rather than a personal account.
- Personal email addresses are not to be used and will not be reimbursed.
- ISU Policy states that university data and research of any kind may not be used with a personal account. See the university’s data classification policy: https://www.policy.iastate.edu/policy/dataclassstdguid
Additional information on ChatGPT
Users are billed $120/year for the license and receive a default limit of 200 credits/week.
Users can opt into a higher credit limit. The options are 400, 1000, 2000, and 5000 credits/week.
Credit usage higher than the default limit is billed monthly at $0.045/credit using the following calculation:
[credits_used – (200 * days_in_month / 7)] * 0.045
Examples:
- 1500 credits total used in July (400 credits/week or higher option)
[1500 – (200 * 31 / 7)] * 0.045 = $27.64
- 700 credits total used in September
700 – (200 * 30 / 7) is negative — no charge
